The Ultimate Drink Calculator. The Perfect Amount for Your Party Fun!

Updated: Jul 7

Planning a party can be so fun and a common question is how many drinks should you prepare? Fortunately, drink calculators have made this task much simpler. In this post, we’ll guide you on how to use a drink calculator to determine the right number of beverages for your event, ensuring your guests feel refreshed and happy throughout the celebration.

Understanding the Drink Calculation Formula

Let’s start with the basic formula for calculating drinks. A good rule of thumb is that guests typically consume one drink per hour. However, many partygoers might begin with two drinks in the first hour.

For instance, if you’re hosting a 4-hour gathering with 100 guests, your calculations would look like this:

  • First Hour:

100 guests x 2 drinks = 200 drinks

  • Subsequent Hours (3 hours):

100 guests x 1 drink x 3 hours = 300 drinks

  • Total Drinks Needed:

200 drinks + 300 drinks = 500 drinks

This simple formula can prevent you from running short on drinks and enhance your guests' experience.

Here is another formula to figure out how many bottles you will need of each kind

We divided them into types of drinks and you will need a formula for each: wines, beers, and cocktails.

How many people

x

How many hours + 1

=

How Many Drinks Total

x

0.3 for mixed drinks or wine glasses or 0.4 for beers

/

Number of Mixed drinks offered or Number of beers offered

=

How many drinks of each kind or How many beers of each kind

Then you take the ounces in the bottles you are going to buy and figure out how many oz of alcohol will be in each drink that you will be making with that alcohol. Will it be 0.5oz,1oz,1.5oz,2oz or more? 25.4 (750ml) is a standard bottle of alcohol. You may want to buy the bigger ones which are a half gallon (1.75). How many 12oz (354.8) beers you will need, or how many 25.4 (750ml) wine bottles you will need. While the standard wine glass can hold 12-14 oz of liquid, the ideal serving size is still 5oz (147ml)

For example: our Margaritas we like 4oz Margarita mix 2oz Tequila and a secret ingredient is a teaspoon cotton candy sugar.

La Paz Margarita Mix 1gallon (128oz): The drink calls for 4oz per drink.

La Paz Margarita Mix

/

How many oz per drink you're making with it

=

How many drinks you can make with 1 bottle of La Paz Margarita mix

Example:128oz/4oz= 32oz

so you can make 32 drinks with 1 1gallon bottle of La Paz Margarita Mix It costs 9.49

and then you take how many drinks you needed to make and divide it by 32 and get how many bottles of La Paz Margarita Mix you need to buy.

The tequila bottle will be 25.4oz

Tequila oz

/

How many oz of Tequila the cocktail takes

=

How many drinks 1 Tequila bottle makes

So if I had 25 people for a 3 hour event I would need

Here is another chart already done for regular sized bottles about 25oz (750ml)

Factors to Consider When Planning Your Drink Menu

While the basic calculation is straightforward, several factors influence your drink menu. Different guests will have different preferences—some will love cocktails, while others may prefer beer or non-alcoholic options.

Types of Drinks: Consider offering a variety to cater to all tastes. For example, you could have three types of beer including a hard seltzer, a couple of popular wines, and a few classic cocktails like margaritas or mojitos. Additionally, explore non-alcoholic choices like flavored sparkling water and virgin piña coladas. Some popular choices can also be dirty sodas (soda with syrup and cream on top) like a shirley temple with cream on top, or juices, mocktails, regular sodas, ect.

Duration of the Event: Longer events naturally require more drinks. For instance, a 6-hour event with 15 guests would require more planning than a 2-hour gathering with the same number of guests.

Guest Profile: Knowing your guests' drinking habits is crucial. Research shows that 60% of party attendees are moderate drinkers who may prefer lighter options. Tailoring your drink supply to your guests' preferences can enhance their enjoyment. Also you know your people better than a statistic. If you know they are partiers, plan for an additional two drinks per hard drinker.

Creating the Perfect Drink Menu

Now that you’ve calculated how many drinks you will need, it’s time to put together your drink menu! Here’s how to curate a balanced selection:

  1. Choose Your Base: Start with a range of spirits—vodka, gin, rum, tequila, and whiskey. A good option could be having at least one light and one dark spirit.

  2. Mixers are Key: Offer a variety of mixers. Popular options include cola, tonic water, fruit juices like orange, lime juice, lemon juice, pineapple, cucumber, cranberry, and garnishes such as lemon wedges and flowers.

  3. Non-Alcoholic Options: Don’t forget about non-drinkers. Sparkling water, soda, and mocktails can help everyone feel included.

  4. Limit Choices: Having a few well-crafted options can streamline your serving process. Too many choices can overwhelm your guests and lead to wasted ingredients.

Setting Up the Drink Station

With your drinks planned, it's time to set up a drink station that will impress. A well-organized area can elevate your guests' experience.

  • Accessibility: Make sure guests can easily grab drinks without crowding. For larger gatherings, consider having multiple stations for different types of beverages.

  • Decoration: Use themed decor to add to the festive feel. Fun cups, colorful napkins, and fairy lights can all enhance the setup.

  • Signage: Clearly label your drink options. This makes it easy for guests to identify what they want and adds a touch of organization.

Managing Leftovers

Many hosts worry about what to do with leftover drinks.

  • Storage: If you have unopened extra drinks, store them properly. Unopened alcoholic beverages can last a long time if kept cool and dark.

  • Sharing is Caring: Send guests home with a mini bottle of leftover drinks. It’s a thoughtful touch that shows appreciation for their attendance.

  • Post-Event Gathering: Consider organizing a casual get-together with friends to finish any remaining drinks. This can be a lovely way to continue the fun.

Wrapping Things Up

Using a drink calculator can significantly improve your party planning. By following straightforward calculations based on your guest count and event duration, along with thoughtful consideration of drink types and setup, you can ensure that everyone has a great time.

Keep in mind that the goal is to create a welcoming atmosphere where your guests feel comfortable and entertained. Cheers to a successful event and happy hosting!
